Terms of Service

Last updated 23 October 2026

These terms are an agreement between you and GuideOps Platform, Inc., a Delaware corporation (“GuideOps”, “we”), covering GuideOps Platform and the products on it — including MeetPoint, FieldBook, SummitGuard, HeliOps, and the Operator Console (together, the “Service”). By creating an account or using the Service you accept them. The Privacy Policy is part of this agreement.

Accounts and operations

An account belongs to a person. An operation is the workspace that holds that operator’s work: clients, bookings, waivers, messages, roster, zones, observations, and reports. Whoever creates an operation is its owner and may invite others into it and set their roles. If you are an owner or admin, you are responsible for who you admit, for what your members do in the operation, and for removing people who should no longer have access. Keep your credentials to yourself. Tell us at steve@guide-ops.com if you think an account has been compromised.

Customer data stays in the operation

Each operator’s customer data stays in that operator’s operation. Clients, bookings, trip details, SummitGuard waivers, medical intake, messages, gear lists, passes, deposits, and related records are visible to that operation’s members. They are not visible to other operators, not public, and not sold. Inviting a guide onto a trip does not give any other operator that client’s record. Removing a guide from an operation does not move that operation’s customer history with them.

Guide profiles and availability

A guide has a profile and availability on the platform. Those are shared with an operator only when that operator has invited the guide. If two operators each invite the same guide, both may see that guide’s profile and availability. An operator who has not invited the guide does not see them. We do not run a public directory of guides.

Profile and availability are not customer data. Work a guide does for operator A — the clients, bookings, and field record of that operation — stays in operator A. Operator B does not receive it because they also invited the same guide.

Your data

Content you and your operation create is yours. You grant us only the licence needed to run the Service: to store, process, back up, and display it to you and to the people admitted to the relevant operation; to show a guide’s profile and availability to operators who have invited that guide; and to send content to a third party when someone in the operation explicitly approves that submission. We do not sell your data and we do not use your content to train AI models. You can request an export or a deletion at any time by emailing steve@guide-ops.com.

Safety, and no reliance

FieldBook is a recording and communication tool. It is not an avalanche forecast, not a safety device, and not a substitute for training, experience, judgment, or the official public bulletin for your area. Nothing produced by the Service — including AI-drafted observations, briefings, summaries, hazard values, and answers to questions — may be relied upon for life-safety decisions. Data may be incomplete, delayed, mis-entered by another person, or wrong. Backcountry travel carries a risk of serious injury and death. That risk is yours, and it remains yours whatever this software displays.

AI output

The Service uses AI to turn what you record into structured observations and written briefings. Every such output is a draft awaiting human review. It can be incorrect or incomplete. You are responsible for reviewing anything before you approve it, and for everything you submit onward to InfoEx or any other party under your name.

Subscriptions, trials, and billing

MeetPoint is billed as a commission on the work we help you land — a trip that books, a pass that sells — on the rate agreed when you join. FieldBook is a seasonal subscription at the rate shown when you subscribe or as otherwise agreed. A FieldBook plan may begin with a free trial; a payment method can be required to start it, with nothing charged until the trial ends.

Prices are in US dollars and exclude any tax we are required to collect. If you pay from outside the United States, Stripe may show and charge the equivalent in your local currency at its exchange rate on the day. Payments are processed by Stripe. We do not receive or store your card number. You can cancel at any time by emailing steve@guide-ops.com. Cancelling during a trial means you are never charged. Cancelling afterwards ends the subscription at the close of the period you have already paid for; we do not pro-rate refunds for a partial season. We may change prices with at least 30 days’ notice by email, effective at your next renewal.

Acceptable use

  • Do not upload content you have no right to share, or another operation’s customer data.
  • Do not attempt to reach an operation you are not a member of, or probe the Service’s security.
  • Do not misrepresent an observation, or submit deliberately false information onward.
  • Do not resell or sublicense access to the Service.

We may suspend or close an account that breaks these rules, or that goes unpaid, and we will tell you why.

Availability

The Service is in early access. There is no uptime commitment. We may change, interrupt, or withdraw features, and we will give reasonable notice before removing something you depend on. Because FieldBook capture works offline and syncs later, a service outage should not stop you recording a day in the field.

Limitation of liability

The Service is provided “as is”, without warranties of any kind to the extent the law allows. We are not liable for indirect, incidental, special, or consequential damages, or for lost profits or lost data. Our total liability for any claim relating to the Service is limited to the amount you paid us in the twelve months before the claim. Nothing here limits liability that cannot be limited by law.

Governing law

These terms are governed by the laws of the State of Delaware, USA, without regard to its conflict-of-laws rules. Disputes will be brought in the state or federal courts located in Delaware.

Changes

We may update these terms. If a change materially affects you, we will email you before it takes effect. Continuing to use the Service after that means you accept the new terms.
